Refund policy

Last updated: July 2026. How deposits, milestones, and cancellations work for a services-based studio.

Overview

BitPerBlock is a services company, not a product retailer. We design and build custom software, AI systems, and applications tailored to each client. Because our work is labour-intensive and bespoke, refunds function differently than they do for e-commerce or off-the-shelf products. This policy explains exactly how deposits, milestones, retainers, and cancellations are handled.

Deposits

An initial project deposit secures our team's time, scheduling, and availability for your engagement. Once work has begun on your project, the deposit is non-refundable. This reflects the commitment of resources and the turning away of other opportunities that your booking represents.

Milestone payments

Projects are delivered in defined milestones. Each milestone is reviewed and approved by you before the next one begins. Once a milestone has been approved and the corresponding invoice paid, that milestone is considered delivered and is non-refundable. Approval signals that the work meets the agreed scope and quality bar for that stage.

Retainer agreements

Monthly retainers are billed in advance to reserve ongoing team capacity. If a retainer is cancelled partway through a billing month, the remaining unused portion is non-refundable and all work stops at the point of cancellation. You retain access to any deliverables completed up to that point.

Cancellation

You may cancel an engagement at any time by providing written notice to hello@bitperblock.new. Upon cancellation, you are responsible for payment of all work completed up to the effective date of cancellation, including any milestones in progress. We will deliver any work substantially completed before the cancellation took effect.

Satisfaction

If you are unhappy with a deliverable, contact us at hello@bitperblock.new within 7 days of receiving it and we will revise the work to address the stated concerns in line with the agreed scope. We do not issue cash refunds for services already rendered and approved, but we stand behind the quality of our work and will collaborate with you to resolve legitimate issues.

Chargebacks

Initiating a chargeback or payment dispute with your bank or card issuer without first contacting BitPerBlock at hello@bitperblock.new to resolve the matter violates this policy and our Terms of Service. We are committed to resolving disputes directly and in good faith; please reach out before involving a payment provider.
